Switching from Gas Engineer Software.
Step by step.

Landlords, job addresses, tenants, notes and due dates — all of it comes with you.

Gas Engineer Software has a proper export, so this move brings over more than any other: landlords and agents, every job address, tenant details, your notes and the gas safety due dates. Your reminders carry straight on. Certificates stay as the PDFs GES emailed you.

Part 1 — export from Gas Engineer Software

  1. Sign in to the GES web portal on a computer (the export lives there, not in the phone app).
  2. Go to Job Addresses and choose Export Data. Save the CSV file. It has one row per job address, so a landlord with five properties appears on five rows — that's expected.
  3. Optional: Invoices → Export Data gives you a CSV of past invoicing for your own records. GASpilot doesn't import invoices, but you'll want the history before the subscription ends.
  4. Certificates don't export. Each one was emailed to you as a PDF when you issued it — keep those emails, or ask GES support for a zip of everything before you close the account.

Part 2 — import into GASpilot

  1. Sign in to GASpilot and tap Settings.
  2. Open Import customers from another app (CSV or phone contacts) and choose the Job Addresses CSV.
  3. The mapping screen opens with three sections, matched automatically from the column headings:
    • Landlord / customer — name, company or agent, phone, email, their own address, notes.
    • Job address & tenant — the property address (street, town and postcode are combined for you) plus tenant name, phone and email.
    • Gas safety dates — next due date and last inspection date.
  4. Check each dropdown against the three-row preview. The one worth a careful look: the landlord's address and the job address must point at different columns. Anything you don't want, set to — skip —.
  5. Tap Import N customers. N is the number of landlords, not rows — rows for the same landlord are grouped.
  6. Read the summary: customers added, job addresses saved, due dates carried over, and anyone already in your app (they're skipped, but their new properties and dates are still added).
  7. Wrong column? Undo this import removes every customer, tenant and migrated record it created. Importing the same file twice adds nothing twice.

What you'll have afterwards

One customer per landlord

Created once, however many rows they had. Their properties sit underneath as tenants with name, phone and email, ready to pick on any new certificate.

Reminders that carry on

Every row with a due date becomes a migrated record on the Certificates page — property, tenant, last inspection, next due, no PDF. Calendar, Upcoming Jobs and reminder emails treat it exactly like a certificate you issued here.

Renew in one tap

When the visit comes round, tap Renew on the migrated record. The new certificate opens prefilled with landlord, property, tenant and your engineer details — just do the checks and send.

Notes kept

Gate codes, parking, keys — anything in the GES notes column lands on the customer record and is searchable.

Old certificates as data

They stay as the PDFs GES emailed you. GASpilot numbers start from your first new certificate.

Dates we can't read

UK dates (14/03/2027), ISO (2027-03-14) and text (20 Jan 2027) all work. A row with an unreadable date still creates the customer — just no reminder — and the summary tells you how many.

Send us your file. The first time you import, email the CSV to queries@gaspilot.uk if anything looks mis-matched and we'll check the column names against it the same day.
