Switching from Gas Certificate App.
Step by step.
Landlords, properties and every upcoming inspection date — fetched for you in one sign-in.
Gas Certificate App can export your landlords and your inspection addresses as CSV files, but those files don't say which property belongs to which landlord or when each inspection is next due. GASpilot gets round that: sign in with your Gas Certificate App login from inside GASpilot and it fetches all three lists directly, links and dates included. Your certificates stay as the PDFs it emailed you.
The quick way — sign in once, fetch everything
- Sign in to GASpilot and tap Settings.
- Open Import customers from another app (CSV or phone contacts). The first card is Moving from Gas Certificate App?
- Type the email and password you use for Gas Certificate App and tap Fetch my data from Gas Certificate App. The password is used for that one sign-in and never stored — GASpilot keeps nothing but the records it fetches.
- Wait a few seconds. You'll see a toast like "Fetched 625 landlords, 347 properties and 355 inspection dates", then the mapping screen opens with everything already matched: landlord details, job address and tenant, next due and last inspection dates.
- Check the three-row preview, then tap Import N customers. N is the number of landlords — properties are grouped underneath them.
- Read the summary: customers added, properties saved, inspection dates carried over, and anyone already in your app (skipped, but their new properties and dates are still added).
- Not what you expected? Undo this import removes everything it created. Fetching again later adds only what's new.
Homeowner jobs are handled too. In Gas Certificate App most domestic jobs are "homeowner" records where the customer, landlord and property are the same person and address. Those come in as one customer with one migrated inspection record — no tenant row, nothing duplicated.
The file way — their two CSV exports
- In the Gas Certificate App web app (app.gascertificateapp.co.uk on a computer) go to Landlord Details → Export All. Save landlords_all.csv.
- Then Inspection Details → Export All. Save inspections_all.csv.
- In GASpilot, Settings → Import customers, choose landlords_all.csv first and import it. Building, street, town and postcode are combined into one address; a mobile number fills in when the phone column is empty; a lettings company with no contact name is still added.
- Choose inspections_all.csv and import that. Occupiers who are already in your app are skipped.
The files carry names, contact details and addresses only. To keep your reminders running after a file import, add a small spreadsheet of Name, Address, Next due and import that too — or just use the sign-in route above, which brings the dates across by itself.
What you'll have afterwards
One customer per landlord
Created once, with each of their properties underneath as a tenant with the occupier's name, phone and email, ready to pick on any new certificate.
Reminders that carry on
Every upcoming inspection becomes a migrated record on the Certificates page — property, occupier, last inspection, next due, no PDF. Calendar, Upcoming Jobs and reminder emails treat it exactly like a certificate you issued here.
Renew in one tap
When the visit comes round, tap Renew on the migrated record. The new certificate opens prefilled with landlord, property, occupier and your engineer details.
No duplicates, easy undo
Anyone matched by email, or by name and phone, is skipped. Every import can be undone in one tap.
Old certificates as data
Gas Certificate App only lets you download each certificate as a PDF. Keep those — GASpilot numbers start from your first new certificate.
Invoices and quotes
Their invoice history doesn't import. Export it from their Invoices page for your own records before the subscription ends.
Something not fetching? If Gas Certificate App changes how its sign-in works, the fetch button will tell you plainly instead of failing quietly. Email
queries@gaspilot.uk or use the chat bubble and we'll sort it the same day.
